There may need to be some clarification about exactly what is 'badly worded'.

The bad wording (that I've seen) is on the screen message that appears once a member is struckthrough. ie: it includes the word 'NEVER'.

This is in contrast to the emails. The emails from management have always been polite.
That's been my experience anyway.

Ok, same concept... just apply that wording to the screen and give them detailed instructions on how to fix it.
